Payment channels

Start with the payment problem you need to solve

The right payment setup follows the way your business sells. A counter sale, an invoice, a subscription and a platform payout create different records and different staff responsibilities. Describe the customer journey before choosing the equipment or account: what is being bought, how the amount is agreed, when payment happens and what your team does afterward.

Roots helps organize that journey across processing, business tools, online payments and specialized services. Our processing and financial-service partners operate the relevant financial services; Roots initiates the setup and helps plan the configuration, integration and operating handoffs. You can review one part of the workflow or connect several parts into a coordinated project.

Example interface and records. Final tools, connections and account terms depend on the agreed scope and provider review.
Cost review

Compare costs using your actual transactions

A processing statement and a representative week of sales show more than a headline rate. Review payment methods, transaction sizes, refunds and the channels customers use. Separate processing charges from software, equipment and implementation costs, then ask how each amount will appear in the quote and reporting.

A cash-discount program may be part of that discussion when reducing eligible processing costs is the main goal. If the problem is unpaid invoices, duplicate entry or an awkward checkout, start with collection and workflow design instead. The review should explain the connection between the recommended change and the issue you brought to the conversation.

Connected reporting

Make reporting part of the setup

Choose the references your employees will use to find a payment: an invoice number, customer, order, location or job. Those references should reach the transaction and the report used by bookkeeping. Follow one sale through checkout, confirmation, settlement and reconciliation before approving the final design.

Also test a decline, refund and changed order. Assign ownership for each exception so customer support and finance know who acts next. A setup becomes easier to operate when the team can answer both whether the customer paid and where the payment belongs in the business records.

Review preparation

Bring a concrete transaction to the free review

Bring recent statements, your current software list and one customer transaction your team finds difficult. Include the invoice, checkout or report involved. Roots uses that material to define the setup and recommend the services that fit the workflow.

Consultations and payment reviews are free. Request a quote for the configuration, integration or program you need. The proposed scope should identify what changes, what staff training is included and which checks will show that the new workflow is ready to use.
