Square Onboarding and Setup in your operation
A good onboarding project connects account setup to the way your business actually serves a customer. Roots helps organize your Square catalog, hardware plan, staff access and operating procedures before launch, so the new system arrives with a practical way to use it.
Use a pilot to establish the operating standard
A rollout should begin with a representative location or workflow. Prepare the catalog, account roles, devices and reporting together, then test the complete working day. The pilot produces a training plan and configuration standard that can be reviewed before it is repeated across the business.
Keep an explicit list of approved differences between locations or teams. An exception may be necessary, but it should have an owner and a reason. Review readiness with the people who open, serve and close each location so the launch decision reflects operational checks rather than simply the creation of accounts.
Decisions to make before setup
Use your current day as the test plan: opening, selling, refunding and closing. Prepare the catalog and staff roles before training, then run realistic transactions and resolve the issues before the team switches over.
Use the setup discussion to settle business workflow, catalog migration, device setup and launch training. Put the decisions into the staff procedure and test transactions, so the configuration can be checked against actual work. Identify which records already exist in your software and which will need to be created, imported or connected during the project.
Reporting and day-to-day review
Focus the review on test completion, staff readiness, opening checks and closing reconciliation. Decide who checks those records, which exceptions require action and where the final totals are reconciled. Keep a payment or order reference attached to every correction so the next employee can understand the history rather than reconstructing it from an amount and a date.
Plan the setup around your business
Prepare a representative transaction and the records your team uses today, including the reports that must match after a payment. Roots uses the free review to define the workflow, the systems involved and the handoffs that need to improve. A concrete transaction is more useful than starting with a list of unrelated features.
Request a quote for the setup or project you need. The scope should identify configuration, migration or development work, staff training and the checks used to confirm readiness. Agree the operating owner for each handoff before launch, then review the first working period against the same cases used in the setup.
